 In this episode of FOLIO in 5, Richard Burkitt, Director of Innovation at EBSCO, demonstrates how to use the Lists app in FOLIO to quickly and efficiently interrogate your library data.

- Build and test a query to identify faculty with open loans
- Filter by patron group and active users
- Customise columns to display relevant information

 ### FOLIO in 5: Using the Lists App to Identify Faculty with Open Loans

My name is Richard Burkitt, Director of Innovation at EBSCO, and today in this really short video, we're going to take a look at the Lists app. We're going to create a list that identifies a particular group within the library having out some books. So maybe we can follow up with that.

So, first thing to do is go to the Lists app. So, these are the apps that we've got within this demonstration environment of FOLIO and if we scroll down here, we can see that one of them is the Lists app. So the Lists app is great. It allows us to interrogate data from within FOLIO. It's one of a number of different ways that we can get data out of the FOLIO system in an appropriate way.

So first thing to do is say, hey, we've got lots and lots of different lists that people have created about lots and lots of different things and these lists are persistent. So if I wanted to go and have a look at this book's location, title, ISBN, then I can go in. And one of the actions I could do here is I can refresh the list.

So although the list may have been created some time ago, we can refresh it and get those updated books located by ISBN. So, to create a new list, we simply go to New. And in this case I'm going to create a list related to faculty that have got open loans. So, I got to give it a title: faculty with open loans. And then we can say the description of this as well. We can go into the record type that we're going to base this list on. And in this case, we're going to go to the loans. We've got the ability to look at this visibility as either a shared or a public list and we can have a status of active or inactive.

I'm going to build this query. So the first thing to look at is look at that loan. And I want to make sure that I get the loan of the status name equals open. And then I can add in another condition as well. So the next condition I'm going to do is I'm going to have a look at the group that I want to interrogate. So the patron group name and I'm going to select that as equals. And I'm going to go for full faculty. Then I want another group. I want to make sure that I get those patrons that are actually still within our organization. So this is that they are active users. So user active and that equals true. And then I can test this query. Before I commit the query, I can test it.

So here we see that the query is going to run and it's going to show 14 records. And I get a preview of this as well. I'm happy with that, so I'm going to run and save that query. So the toaster pops out. It says that the faculty with open loans list has been created. And we can see that it's generating this at the moment.

We can see the query that we've created here, and I'm going to look at that refresh list. And here we've got all of those loans that have met the criteria that I've indicated within this list. So we've got due dates and we've got lots and lots of different pieces of information that might be useful in our further administration of this particular group.

If I click on the actions, then I can see that we've got activities that we may want to do at the top of the actions list. But actually, I may want to go down to the columns here and just see if there's any more column information that will be useful when I want to take a look at the detail here.

So there's loads and loads of information that we can subject this list to. You of course, don't have to have all of this. You could have all of it, but you might just want to check those pieces of information that are particularly useful for your particular use case. Once we've got all this, then we can export the selected columns, the CSV, or if we wanted all the columns, we can do that.

So once we've got this information then we're empowered to go to the faculty and say, hey, you know, you've got a loan that you've had out for longer than the particular loan period that was selected and there's something that we need to do about that. So that is just really quickly looking at the List app within FOLIO. Welcome to the List app.
