FOLIO in 5: Tracking Activity with Circulation Logs & Version History
Hello, welcome to FOLIO in Five. In this short video we're going to have a look at accessing circulation logs and also some version logs within FOLIO. So a library system is many things, and arguably its greatest function is that of a store of critical information related to core activity of any organization that has a library and a library system. Of course, a store of information is fine, but how do you get to that information, especially when you really need it?
So in this short video, we're going to have a look first at the circulation log. So a circulation log is fairly self-explanatory. It allows you to have a look at all of those aspects of circulation and all those events that have happened. So in here what we're going to do is we’re going to have a look at a particular user. In this case, it's going to be a staff user. And I'm going to search for somebody's name using this patron lookup. Of course, there's lots of ways that we could take a look at this - by patron group, etc. - but in this case we're going to have a look for a particular user, and we're going to click on Rebecca's name.
And we could of course put in an item barcode or description, but in this case we're just going to click on apply. What we can see here is that we have all of those events that are related to circulation for Rebecca's account. So we've got Rebecca's user barcode and we've got the item barcode that the activity is involved with.
We've got the object that the circulation record is pulling the information from, so this could be things like a notice. So in here we're sending a notice for maybe an overdue. In here we've got a request that has come in from a particular service point or a loan that has been checked out. We've also got that particular circulation action, the date when this circulation action occurred, the service point from which the circulation action came from, and we've got a description of what actually happened within this particular event. So we can see here at the top we used a template for overdue notices, for a long term overdue notice, and it triggered an event which was the due date. Now if we want to mouse over the action, then we can see the appropriate actions that we may want to take in this case.
So we can go to the user details. We can have a look at this stuff, users’ details. We can go to the notice policy itself or we can go to a version of the template that was used within this policy. Now if we go back and we have a look at a request, then we will see that in this case those actions are changed.
We have the loan details, the user details and also the request details. So if we wanted to click through, we would find exactly the information related to that particular loan. So, if we wanted to go further than this, we could take a look at the start date and end date that we want to interrogate the circulation loans about.
We could look at the service point associated with this. We can also have a look at the actions associated with the loan, the notice, the fee or fine and also the request. In this case, I'm going to have a look at laims returned and we can see that we have one claimed returned item. And we can, in this case, we can go and we could have a look at loan details and user details, but I'm going to go directly into the item itself by clicking on the item barcode. And in here we go through to the item level. And we can select actions and we can, if we wanted to, we could say that this is missing. This is withdrawn. This is long missing, whatever action that we want to take on this particular resource.
Closing that down, I am in the instance record within the inventory. So this is your catalog records that the circulation log references. And I can go into the version history of this particular instance record and I can say, actually, what’s happened within this particular record, and we've got that version history about what has been added and what has been removed from the bibliographic record.
We can see a similar level of version history within the financial side of FOLIO. So in this case, we're going to go through to the Invoices app. And we're just going to have a look for the status of an open invoice, just so I can show you that versioning. I'm just going to check the top invoice here. And we can see that we've got the same version history that we had previously. And we can click into that and we can see that we have version history of this invoice record as well.
So that's just a very brief look at a couple of the areas where we log information within FOLIO. And just to remind you that FOLIO is a service that’s offered in a very secure manner by EBSCO and we're committed to providing the library with the appropriate data for both accurate and timely decision making in a wide variety of different ways.
But at the same time, we don't want to open any security vulnerabilities. And as such, we don't facilitate the server level log access directly. But of course, we can assist if library staff want to have deeper analytical requirements facilitated by EBSCO.
