Mosaic Essentials 2026: A Complete Book Acquisition Platform Tour
Marjorie Boyer
And with that, I will turn it over to Steph Moriarty, Director of Sales, Books, and Bethany Pelletier, Director of Product Management, to kick us off.
Steph Moriarty
Great. Thanks, Marjorie. Bethany, if you don't mind advancing to the agenda slide, please.
Thank you. So today, as advertised, we are going to be doing a full nuts and bolts, if you will, of Mosaic. So we intend to take up likely the full hour, but if you need to leave at any point, a recording is gonna be sent afterwards. So today, we're gonna go over a couple of slides first just for Mosaic basics.
A lot of people have been to our webinars before, but we also have a lot of new faces. So we just wanna level set, on Mosaic, and then we'll do a full demo with Bethany, and then how to get started with Mosaic.
So how Mosaic got started in the first place was we have GOBI as a ecommerce platform as well as ECM, EBSCO's collection manager. And we wanted to bring those two together and have one singular platform eventually. Hence, Mosaic, bringing the pieces together.
So all of what we have done with Mosaic has been built with librarians in mind. We have partnered with 30 plus libraries across the globe with more coming on as we get into new enhancements for it. We are currently available in all of the countries that you see lift listed here on the side with Ireland and South Africa coming very soon.
We do have a website that Marjorie will put in the chat that indicates to you where we're available so you can track that as we go.
So we have folks on this webinar that may have used GOBI primarily and also use ECM primarily or both. So the next two slides are just indicating immediate improvements that you see when using Mosaic. So for example, with GOBI, real time pricing and availability is no longer a guessing game. You will know exactly what you will be able to purchase. You have instant invoices, significant increase in speed of search and actions. You can get more than a thousand search results at a time and checking accessibility compliance prior to purchase.
Next slide.
And then for ECM, similar, immediate improvements, and these lists are not all inclusive, so keep that in mind. But with ECM, we have, persistent cart now in Mosaic. We have increased the speed. You can get instant self serve invoices. So instant invoice, and you can get it in the UI. We have checking accessibility compliance, in Mosaic, ILS integration with three different ILSs. We have access to book reviews now, as well as customized Rapid marc records.
So, as mentioned, Mosaic is available in a variety of different countries today, but one of the more exciting things we've done for Mosaic is it's translated natively into 18 different languages. Bethany will show an example of how to change that and how to get to that, but these would be the codes that are available to translate Mosaic.
Keeping with the international theme, we also have non-English language content in Mosaic.
Now you may think, well, GOBI has that and ECM has that. What's the difference?
Primarily for GOBI users, we cannot show some languages because of character limitations.
But Mosaic, we don't have those limitations. And so you get access to more than 900,000 non-English titles in Mosaic that you would not see in GOBI.
And, as mentioned, we have ILS integration. So we currently have integration with Alma and FOLIO with OCLC coming very soon in October.
With Mosaic, an ILS integration is not a requirement. If you do not use an ILS or do not want to integrate into your ILS, that is completely fine. You can still use Mosaic.
If you wanted to, you do configure it with our LTS team, and you can configure it at any point to your preference. So for example, if you wanted to get started with Mosaic right away but wanted to do the ILS integration further down the road, that's fine. Or if you wanted to do your integration first and then start ordering. So we have that flexibility with that configuration.
And lastly, Mosaic was built with accessibility in mind. So we are WCAG double a two dot two compliant and also compliant with the European accessibility standards. And then Marjorie will also put in the chat a link to where you can find our ACRs or formerly known as VPATs.
And with that, we will pass it over to Bethany to do the live demo.
Bethany Pelletier
Hey everyone.
So I'm Bethany, nice to see you all again. Just a quick I wanted to underscore what Marjorie said at the top which is please do put your questions in the Q and A box. We want to hear them, we want to get back to you.
I was recently at the Isabelle Stewart Gardner Museum in Boston. I was up in one of the rooms, there was a velvet rope. Beyond the velvet rope, I could see a glassed bookcase, and in there I could see spines with Swift and Dante, and I thought to myself, oh my goodness, is that a first edition of Gulliver's Travels right there? So I turned around to whom I thought was the docent in the room to ask, is that a first edition? And they crossed their arms and said, I wouldn't know.
And then I realized that was actually security. It was not the docent. I did, spoiler alert, find out subsequently that it was a first edition. So if you're ever interested in seeing that, head over to that museum.
But just wanted to say that oh, and the other thing, the security guards, probably a good thing they're there. In 1990, there was a heist. 13 pieces of art were stolen to the tune of 500,000,000 and they were never recovered. So just to say, it's a good thing the security is there.
But in that moment, you know, I just wanted to say, like, Steph and I especially, we're not behind a velvet rope. We wanna hear your questions, and if we can't get back to you here within this session, we will certainly make sure that those come out to you in email so that you have it.
So without further ado, Steph and I are your tour guides for today, and we're gonna have four stops on our tour. First, we're gonna do some search and discovery and see what sort of our find our way around Mosaic and how to use it. Then we're gonna look at ordering workflows and what's available there.
After that, our third stop is going to be looking at what happens after order, what can you expect there, and what kind of workflows do we have. And then lastly, we are gonna circle back to selector workflows and show our recently launched selector workflows so that folks can see that interaction. And Steph and I will sort of demonstrate together, one with our selector hat on and one with our acquisitions hat on so that you can get a sense of how that selector portal is used in action.
So just to orient those to Mosaic, here we are at the home page. I wanted to say that, first of all, you'll see the big search bar in the middle. It looks pretty simple, but actually, behind the scenes has a lot of functionality here. There are ways that you can search by keyword, title, contributor, author or editor, publisher, and ISBN. Keyword will search everything, including the table of contents and all of that. So it's a really powerful search. In addition, you can refine your search byany and all, which is and/or searching, which is really nice, again, way to kinda combine that. And, of course, the search results will return per relevancy.
Within the search bar itself, you can type in or paste in a list of ISBNs from any sort of source that you have. You can use quotes to be more specific in your searches, and generally use that search bar anyhow you'd expect. So we're gonna do my favorite search, which is linguistics.
And with the blink, you saw that we got more than ten thousand results immediately.
Steph highlighted this in one of her slides, but one of the things we really wanted to do better with with Mosaic is have more results returned. So the cap of a thousand that GOBI has is not in effect in Mosaic. We can return much more results than that, and it's fast results. And so now we'll take a look at what you actually can see here in the results.
In here, you can see that we have what we refer to as our work level record. So this is that high level information that's available about the title, if it has a series, for example, or any attributes that are specifically important for you to take at a glance.
To the left, we have item details, which is going to be information like subject headings, classifications.
In addition, if there are any reviews available, that information you can see is available with a link out. So here we have a choice review with all the information on the readership level, what issue it's in, etcetera, right available from the storefront.
So that's all information that's available on that left hand side. And on the right hand side is all the information of is this title available to me? What are the attributes that I need to know about access and purchasing model so that I can answer questions about how my patrons will engage with this work? And is it available and at what cost?
So that's all available here on the right hand side in the purpose options tab. I will wanna highlight at the top, there's a quick and easy way to expand and collapse these. So if you have a known item search, you have 10 ISBNs that you know you wanna order, you might wanna just expand title and purchase options so that you're just scrolling down through and see sort of all the ways that you can purchase it. If you're perusing and you're a selector and you're more interested in the subject classifications and information, you can default all of them to be expanded in that or you can always go back and forth here within the pane itself and see that information.
So in this example, we'll go ahead actually down to this one. Here, we'll look at this Rutledge Handbook of Linguistics. You can see that the headers are all sortable. So you can sort by supplier name, by access model. So if you wanna quickly and easily see what are the most generous access models versus not, you can use that sort there. You can see the DRM-free indicator, the ISBNs that are associated, the formats that it's available with, and you can click on the preview URL links to do the viewer and actually see the content there.
And so this is available for all suppliers that give us access to that information to share with you within the results. So this information is all available to you here. In addition, one nice enhancement that we have is the ability to have the accessibility metadata available to you from search results. So within the search result, can see if I expand the caret out, the information about accessibility is displayed here for me. So if I'm trying to make a purchasing decision and I wanna know what are the permissions for how I can interact with this title, you can see all of the downloadability, you can see the accessibility information all available here.
So we will show you this information when we have it, and you can see what percentage of it passed for accessibility, which might be helpful if you're making a decision on how accessible a title is. We'll give you that information there within the search results.
In addition to this, I just wanted to note for those we're really excited for those that are not using USD currency.
So we have some folks joining from around the globe. We do have the ability to show the prices in non US dollars as well. So you can see here if I'm set up to be in Canadian dollars or British pounds, you'll see that information displayed here with a little indicator that lets you know at the library that this was a converted currency.
If it's not converted and it's something we got, we'll just won't display that little indicator there. But what's really nice is that you can see up front what options do I have and at what price are they available to me.
Right now, our platform has more than three point five million eBooks across eight suppliers and growing. We are expanding it in the last few months alone. We've added four new suppliers.
And eventually, we will have print books. I'm sure that's one of the q and a questions is, are print books available in Mosaic? Not quite yet. However, we have added this fine print on GOBI link, which brings you directly to the GOBI record so that you can order the print book quickly and easily if you'd like to.
So I clicked on that fine print in GOBI. Because I'm already logged in to GOBI, it brought me right to the search results. If I wasn't logged in to GOBI, it would just prompt me to log in to GOBI and then bring me to this results set.
So you can see in this example, you know, I'm scrolling through. There are four results for the clock, the paper, the eBook from EBSCO, another eBook from Taylor and Francis.
Conversely, when you look in Mosaic, it's one total record. All that same information is available here for and you can purchase from any of those suppliers, but it's all within one grid. So that's really was an important thing that we wanted to do to make sure to make it a lot easier so that you're not scrolling for days or having to parse through an enormous amount of information to quickly and easily get to what you're looking for.
So I just switched back to USD just so you can see there.
In addition, I wanted to note, we have on this work level record, if there is library history or you have purchased it before, we will show you that information. I'll give you some better examples further on in the program.
In addition, we have title descriptions that are available to you over here in this overflow menu, as well as table of contents, and again, the keyword search does search across all of these bits of information.
So it's really a nice seamless way to get access to all the information quickly, and it's all sort of put together so that there's less parsing that has to happen as you're working through.
I did wanna highlight here some of the filters we have. So we've been building out our ability to refine your search results. And, as Steph said at the top of the program, we have a lot of non-English content that we've been adding to the platform, and Mosaic handles it a lot better than our other platforms, ECM and GOBI, especially the non-Roman characters. So just to highlight that I'm gonna go into my filters here and I'm gonna click on Japanese.
And when I do so, you can see here, those are all displayed here within the platform.
In addition, if I wanted to let me just take this off here.
If I wanted to sort of see the platform in a different language, what I can do at the top here is change my language using your browser. Steph highlighted that at the top as well. We're really excited that our platform is not only usable in eighteen languages and easy to switch back and forth, but the actual content that that we have within our platform covers a lot of non-English language titles that are of interest to many folks.
So going back to the filters here, I just wanted to highlight what some of them are. We have DRM status available here so that you can quickly and easily get at those DRM free titles. Again, format is available here, so if you're looking to understand, I want the most accessible content, which I know is EPUB threes and DRM free, I can use that combination of filters to quickly and easily filter or winnow my results by those things.
These filters are persistent and are these are available for the entire duration of your session, which means if I were to change my search here, it's gonna keep those filters applied. So if these are things that are important to you and you need to do a variety of searching, you don't have to keep applying them during this session.
You can also take them off one at a time or clear them all if you wanna quickly and easily clear those. But we're really excited that some of those seemingly small things but important parts of your workflow to optimize that we've been able to do that in Mosaic.
So in addition to CRM status and format, we have the ability to winnow a publication year. You can either pick a combination, not just one. You can pick a combination of years that you're looking for or use the range to define the range of time that you're looking for.
There is also the filter by publisher here listed with sort of the most results to least. That's how they're ordered.
In addition, we have the ability to filter based on LC subject classifications or BISAC. This is especially useful if you're trying to find other titles within that same subject that you might be interested in. It really allows you to sort of get at that information.
And then, of course, language, which we highlighted that ability to winnow your results based on language.
So excited to see that we have all of that available in a pretty simple, you know, search result.
I wanted to also note that this Mosaic logo, we love it. It's a beautiful logo, we think, but also it's functional. When you click on it, like most websites, that's gonna bring you back to the home page. So if you're ever sort of working through things and you wanna come back to this main page, you can certainly use that logo.
In addition, there's a bunch of footers here that might be useful to you. EBSCO Connect documentation, that will bring you to a lot of help text as you're sort of onboarding with Mosaic and learning. We also have access to our product road map where you can follow along with us on what's coming soon, what's been released using some felt filters on categories that are interesting to you.
In addition, we have a contact us button. When you click on this, it's gonna send an email right to your customer satisfaction group with your login so that they can help you immediately. So all of that information is there.
And then this feedback button on the side, I wanted to highlight. I like this one. It's near and dear to my heart. When you click on this one, this goes to us and the product team where you can actually fill out a form, give us your feedback, ask us your questions. We monitor this on a daily basis and love to hear from you, so please do feel free to use that.
Also, along the top, wanted to note there's some tooling we'll get into around your order management and templates that we'll talk about in our next stop, as well as library activity and selections. There's a shopping cart here that we'll talk about in just a moment, and then there's a pane over here that gives you information about your particular account, what your roles are that you have access to, as well as information about your account, and then what profile you're using in that moment. And just wanted to note these profiles really are customizable for your library. So if you would like to have your account separated out so that you can work independently on different types of things.
We can help you with that in setting up a profile. You know, you might have sort of an opening day collection or something that is very specifically separated out that you want to be able to handle differently, and that's how those can be used. So we can talk, please do talk, to your sales rep about that and what makes the most sense.
So that's the search and discovery. I did want to just quickly go back to our search results, and before we kinda click over to the next stop on our tour, I wanted to note something else in the purchase options tab.
So we just looked at all of the pricing and eligibility information, and this is an example where something is not available to you. We will make that very clear to you. When it's not available to you, we are going to tell you that and tell you why. So we have several reasons why something might not be available to you, whether it's you do not have a contract with that particular supplier or you're not configured for that. If it's a market restriction and it's not available to you, we'll let you know that so that you have the answers and can self-service there as you're discovering content and know why it's not available to you.
Why is this important? Well, it's important because we don't want you to place orders and then have to cancel them on you or not fill them, especially when you have folks that are depending on getting access to that content, and you saw it as an available status and you've ordered it only to find out a day or two, three days later it's not available. So in Mosaic, we're bringing all that information up front to your search results so that you have that information right at the ready and at your fingertips so that you can understand why something is or isn't available to you.
The other thing I wanted to note was that we have worked really hard with our supplier partners to ensure that we have accurate pricing and eligibility available every day, and so that the prices that you're seeing here accurate. Not only are they accurate, but at the point that you actually order them, your price is locked in and guaranteed. And, again, this is important because it helps you with your budgets. But in addition, it's really important because we are checking on that last-minute availability and pricing before we lock in that order, and that just makes sure that you're actually gonna get that. So you can be confident that when you order at Mosaic, it's going to be fulfilled, and it will be fulfilled within minutes. So in less than an hour, you'll have access to that.
So lots of great improvements there that we've been working hard on.
So now we just finished the first step, which was the search and discovery, and now we're gonna talk a little bit more about the ordering workflows and what you can expect.
Steph Moriarty
Bethany?
Bethany Pelletier
Yeah?
Steph Moriarty
Just real quick, we're getting a lot of questions, great questions about the library history.
Bethany Pelletier
Yes. Yep.
Steph Moriarty
So in the example that you have here for example, let me repeat myself.
The clock is there because it has a specific flag. So that was for selections. But folks wanna see specifically that at your institution and then what's contained within there. So a popular question in the q and a was, do you see an immediate flag? Do you always have to click on that clock?
And the answer would be no. We show that flag. So, Bethany, if you wanna walk through now what where they can find the additional information.
Bethany Pelletier
Sure. Yeah. So I just put in three eyespans that I know have some sort of history. So we can take a look at what does that look like for you. So I keyed in those ISBNs.
Here are three results, and you can see there is an at your institution banner. It's prominent in that teal lettering with the checkbox. And when I click on the actual purchase options tab, that item or purchase option row is highlighted. So you not only know at a glance, oh, I think I have access to this. Mosaic thinks I have access to this title. What is my access? And you can see here that information in the corresponding teal lettering. In addition, the little clock through library history modal will open, and you can see all the information by which you have access.
So I can see, oh, it's in my EBSCO eBook holdings. It was a DDA Unowned/Not triggered, 1B1U.
Now if it was a Mosaic order from Mosaic directly, you'd also have all the information relative to that particular order.
I don't know if I have one up here, but you will have access to your invoice, your cataloging record. All of that information will be displayed for you to see.
So oh, here's a good example. Okay. So this is the example that I was trying to show you. So you see the institution banner, the appropriate lettering there, and then you get full information in this library history modal. So in this example, this title, I ordered it, and it was returning credited, which is why the at your institution banner no longer shows, but there is still a library history. When I click new details, I can see what the order information was. I can see the invoice and click right on it, and it will open my invoice for me, which you can see here right here.
In addition, I can see the credit and open that up. I can have access to my access URLs here, and I can download my catalog record. So it's a great question. And when you have anything that you have history on, it will show in Mosaic here for you to be able to see with those indicators.
In addition, Mosaic offers a free load of holdings. So if you send us your holdings, we will load them for you for free, and we will show that in this library history modal here for you. Anything that you've purchased from EBSCO or in Mosaic will automatically show the banner so that you'll have access to that duplication prevention.
In addition, since it's worth showing, we're gonna show what a duplication order looks like once you actually place an order.
Steph, anything you'd like me to add there relative to the duplication checking and banners?
Steph Moriarty
No. That was a great overview. And then there was a follow-up question, which I think is great is how long is the higher institution information retained? And it's there as long as you have that title. So forever and ever, is the short answer. But for example, if it's part of your EBSCO eBook subscription and a title falls out of that subscription, then we would remove that banner if that was the only way you were accessing. So forever unless there is a change to your holdings.
Bethany Pelletier
Yep. Indefinitely.
So how you order items is you just go to the little drop down and the corresponding, and you add it to your cart, and that goes to your cart and will show the checkout process.
So I'm gonna just go ahead and pick a couple of these, and that one's actually in my cart already. So I saw that. I'm gonna add this one to my cart here.
You can also add it to selections, but Steph's gonna show that in just a minute. I am in a login with a role where I can both select items and I can purchase them. If I was just a selector, I would have a different sort of view here. But just to note, because I have admin authority, I can do both, and that's why you're seeing both of that those pieces of information available.
So I identified the titles that I wanna order. My next step is that I would go to my shopping cart and check out. So when I click on my shopping cart here, just to orient us a little bit to what we're seeing, at the top, you'll always see important exceptions or information that you might wanna pay attention to in the blue box. So if there's duplications, we're going to let you know, hey. Some of these are have duplicates. You might wanna take a look at those.
If there are incomplete order details, and meaning there's custom local order details that you are required to be associated with your order, we'll let you know if those haven't all been billed out. And then your information will show here. And on the right, you'll see your order summary of the titles that are showing in your cart and what you can expect for pricing.
At the top here for profile, you can see you can filter your cart in a couple of ways. I can filter based on those profiles that we talked about if I wanna look at a subset of orders. I can also view particular subsets in my order cart. For example, if I wanna look at all things that I think are duplicates and I wanna take a look at those first before I place any orders, I can filter my view by items at my institution. And you can see here in my cart, I also have that banner so that it's obvious to me that I have that in here. You can see I've added this twice. Because we just added it, I'm going to go ahead and remove one option there.
So right now, I've filtered my results for things that have a duplicate, and I can make some decisions here. I can order them in bulk if I want by marking all orders all items, and I can add order details, or I can remove them. So you can act singularly or in batch.
Within each record, there is the ability to add and change order details one at a time, or you can do it in batch. It's really up to you. You can also change your order profile. So if this is US Academic, but maybe I needed it to go to a different place, I can go ahead and change it without having to remove it and re-add it. I can adjust it there. So now I'm down to one item.
And in here, I can add my order details here through my order details page, and I can apply a template if I'd like. So I'm gonna add a linguistics template that's gonna prefill all my order details that I've saved.
One thing I wanted to note about Mosaic is that the order details here are customized for you. So in GOBI, we have GOBI Smart or customized or local order details where you can name all the fields, and you can select which order details pertain to your orders at your library. You can also have validation lists, so you can customize that. And in GOBI, we offer, you know, 10 order details and you can customize and mix and match.
In Mosaic, there's 35. So as you can see, we've really expanded the opportunity there for local order details that you can set up. And why is this important? Well, a lot of times, there's a lot of fields that you need to do specific things from your library, and so by expanding that out, we're really allowing you to have that flexibility.
We often hear from Alma libraries, for example, that they want all the reporting codes supported so that they can enter that at the point of order detail. And so with limited order details, it makes it hard to do that. So Mosaic, we've expanded it fourfold pretty much so that you have the ability to customize that. But to note, you don't have to have all that customization. You could have no order details. If you have a very simple workflow, you just wanna hit one button, order, and you're done.
In addition, you can set up the templates like I have here that we'll look at in a minute, or you can create a new template right from within the cart here. But I hit save, and now my order details are complete. I'm ready to go. I can submit order, and off it goes.
So I'm gonna go ahead and order this, and here's my exception. So I knew that it was something I already had at my library. I'm making a conscious decision to order it anyway. If I forgot that it was already at my institution, I get this exception to remind me.
So we have the safeguards built into the search and discovery in the card itself and also at the actual order checkout time to make sure that you really want to go ahead and have that be an order that's placed.
So and then once you place that order, you can see you get an order acknowledgment here in the storefront. In addition, if you're configured, you will get an email acknowledgment that lets you know thank you for your order, and you have that information available there.
So stop three on the tour is what happens after you order. And so let's just take a minute to talk about what you can expect. Well, I placed this order. It is telling me that I still have items in my cart to order, which I know because I filtered the order and only placed a subset of my orders so I could go back to my cart and place them in batches or such. But this one's here. I can expect that I will see I will have access to this content within minutes at maximum an hour, but we're seeing within minutes that you have access to these.
And so what you will expect to see next is as soon as it's fulfilled, you will get an email with an access URL and a fulfillment email that will say you have access to the content. If you're configured, you'll also get access to a cataloging record or provisional cataloging record that can be customized that is also free that you will have access to as soon as it's fulfilled. You can download those right from within the storefront here, and you come into this screen, and you can see these are all my orders, and I can go ahead and click on download marked record and download them singularly or in batch and get access to that cataloging record that I can import into my local system for discovery. So we'll just take a look at that here.
So you'll have access to that cataloging record.
Pop it back up there for you. And if there's more than one, you'll see all of those available as well. We are working on the ability to have these delivered to an FTP site. That should be available probably by next month, which is really exciting.
So you can download them in the storefront, or you'll also be able to get them delivered to FTP for you to be able to download and get gather from there. So I've got my order fulfilled. I have access to it within an hour. I have my access URL that I can get both from my cataloging record and from my fulfillment email.
And then I can also use this order activity screen to sort of monitor where I'm at. This is the order we just placed. So when I go to order activity on the screen, I can see all the history of all my orders that I've placed.
I can search by a variety of types of things to get quickly to that order activity. And then if I expand out the details within this screen, I have access to all of those things like my access URL, my cataloging record, my invoice. If I go down further, I have access to all of these things right here from within my order activity.
So that's all available for me for troubleshooting or just checking in on where orders are.
I wanted to just go back real quick and say on account management, I used an order I applied an order template at checkout that was linguistics, and just wanted to know where you would configure those. You would configure them under this account management screen here. You can see this is my linguistics template. It is favorited. It is my default. So when I go to checkout, this is the one that will display at the top.
But I have access to all of these others.
And just to note, when you create a new order template, you can determine if it's private or shared. You can determine whether it's your default, and then you can set what you'd like for order details here within the template itself. Just makes for fast and easy checkout.
So it's really nice. We have the persistent cart now, so things stay in your cart. And then when you check out, it's a one click, fast and easy. You get access to everything within minutes and have the ability to self-service for your cataloging records and also your invoices.
So daily, you will get an invoice. You can access that through the invoices screen here, where, again, you can click on the invoice and open it up and download it right here from the site. You'll also receive an email with that invoice link as well in your email if configured. So from a library perspective, you price the order, you get your fulfillment email, you get your cataloging record, and your invoice all quickly and easily without much fuss at all.
I did wanna touch on one of the things that Steph mentioned, which is the ILS integrations, and just talk about what does that mean for Alma, for FOLIO, and for WMS coming soon. When you're set up with Mosaic integrations, this means that when you're ordering in Mosaic, at the point you hit that order button in the cart, what it's going to do is it's gonna call out to your ILS, and it's going to create an order level record for you and your ILS automatically so that you don't have to double key. So it's an order API that will stand up and bring all of your local order details from Mosaic over to your ILS and create that order level record. It will then in turn send a purchase order line over to Mosaic so that we can track for you what that association is for your ILS. That way you have that information throughout the life cycle and workflow. So in your cataloging record and in your invoice, all of those things, you can tie it out.
And then at the point you get your invoice, you can be configured for EDI invoicing and, again, tied to the original order. We can make those records available to you and so that you can tie that out in your system. So it makes it so that you don't have to double key. You don't have to worry about that. That work is done for you. And so that's really exciting to have the additional fields that are available.
In addition, Mosaic calls out real time API validation lists. So if you have a fund list in your ILS, for example, Mosaic will can be configured to be connected to that. And at the point you're ordering, we are going to call your real time list and pull it down so that there is no mistakes there in terms of, you know, an incorrect fund, one that shouldn't have been used. That's all controlled by you and your ILS, and Mosaic rep respects that and pulls the right validation list.
Mosaic can also curate a validation list that you want us to configure on your behalf if it you don't want it connected to the APIs. So lots of flexibility there in terms of how you wanna have things configured. For FOLIO libraries, your FOLIO order template, which is really important and drives a lot of important activities, also can be surfaced in Mosaic so that you can assign that template right here as part of the checkout process, and then that will follow through to FOLIO. So we've made some really tight integrations with the ILS systems to ensure that that information seamlessly goes from Mosaic over to your ILS and does that.
So that's the sort of start and to finish tour for stops one, two, and three. And the next thing we wanted to show a little bit was the new selection workflow.
And so I'd like to I think, Steph, if you wanna take the screen and you could start as if you're a selector and showcasing that.
Steph Moriarty
Sure.
Bethany Pelletier
And then I can show what the acquisitions portion looks like.
Steph Moriarty
Can you see my screen okay?
Bethany Pelletier
Yes.
Steph Moriarty
Perfect.
Alright. So I am currently logged in as a selector. You'll see that it looks identical to what Bethany's experience was. So the experience, for all intents and purposes, is the same. The only thing I'm missing here is the shopping cart because, again, I'm a selector. To verify what you are, you can click on the hyperlink.
You are about to see my personal email. Please do not write it down. Please do not contact me there. Use my professional email. We're gonna trust here. But my role here, you can see, is a selector, and I have access to the same profiles that Bethany had depending on what I'm making selections for.
So I'm going to run a search.
Pick a couple. So this one looks good. I'm gonna select that item.
Now when I select it, my order details pop up because Bethany, as my administrator, has said, we need order details before you pass this off for selection.
With order details, these are not required to use Mosaic. If you are a library or institution that doesn't require order details and you can just purchase stuff right through the shopping cart and done, that's fine. If you are a library that does require this information, then you can require it. So Mosaic is customizable in that way that it's not one size fits all. You customize it to what works for your library.
But because Bethany requires this information, I have to put my template in. I'm going to submit that, and I'm gonna submit a couple others. And so once I submit those, I can go to my selections.
Oops. And I had a filter applied. I'm gonna remove that filter.
So I can see here what I have selected.
If I want to add a comment to Bethany, I can do that by clicking on the little talk box here and say, we need this for the new semester.
And I'm gonna send that comment to her. If I don't need to do that comment anymore, I have the option to delete it. But if I don't delete it, it will keep a running history of the conversation that happens on this title.
So I have made my selections, and now Bethany is gonna go back into her view so she can show you what that looks like.
Bethany Pelletier
Alright. Go ahead and share back here. Perfect. Alright.
Okay. So we're back here with me and Mosaic, and I'm gonna go to see what Steph's been up to. I'm gonna selection screen here. And because I'm both a selector and acquisitions, my filters are gonna default here, but it's defaulting to selected. So I can see there are 11 selected items that require my attention.
On the left-hand side, there's a lot of filters I can use. There's status, so I can look at things maybe that have been rejected, or I can look at things that have been approved or not yet submitted.
But really, I'm looking here to see what has been selected that maybe I need to action.
I can sort them by date if I wanna look at a subset of a particular recent ones or ones that have been sitting. I can look at selections that have been submitted over a particular period of time.
I can look at particular comments if I want to bring my attention to the comments there and make sure that I'm paying attention to those.
If I work in batches per classifications because of fund codes and budgets, I can go ahead and use classification LC class as my filter or fund codes as they're set up for the libraries. But I'm gonna go ahead and just pull up staff selections. I'm gonna work in that way. And when I pull up the selections here, you can see these are all staff selections. I can see there's a comment here.
We need this for the new semester. Oh, great. So I'll make sure that I order this for Steph because she needs it. So good news, you'll have it by this afternoon.
And I can send a comment back to her. So within Mosaic, we can have conversations about content no matter what it is, whether it's just asking for urgency around something or if you have questions around another purchase option or model or what a particular use is for research versus classroom. You can use the comments anyhow you want. These are your comments, so EBSCO is not looking at these or taking any action. They're just for you and your selectors and acquisitions in having a conversation back and forth about the content that was requested.
So here you can see I commented back that I'll have it this afternoon. I'm gonna go ahead and approve it. I'm gonna add it to cart, and I'm gonna check out, and off it goes. So it's as easy as that when you are selecting.
For this next one, maybe I'm going to reject it, and I'm going to say to Steph already owned so that she knows I'm not gonna order it, available with unlimited access, and I can send that off, and I can reject that. And Steph will be able to see that in her portal that that was not ordered on behalf.
So you can work through it as acquisitions, either one at a time or in batch.
So you can sort of identify and select the whole batch that you've filtered by, and you can add order details, and you can submit them in bulk. Note that these are grayed out, and that's because some of these have already been actioned. So let me just pick a couple here. So I'm going to take this one and this one, and I can see I'm gonna apply order details.
These are both going to be linguistics, and Steph was an interested user, so I'm just gonna put that there. I hit save, and then I approve them in batch and add them to cart. So you can see here within the selections portal, I can use my filters to look at subsets of types of selections, and then I can action them as acquisitions. I can either action them one at a time and add order details here, or I can use the bulk actions and apply those actions in batch to make my life easier and make things quicker.
In addition, it will always tell you on the selections page the latest status of it so I can see that when I did approve that, it's in the cart so that I'm aware that I need to go to the cart and check that out, so that information is there. In addition, if I sort of change my mind, I can go here and I can change sort of whether something is in my cart and selected versus actually approved for order, and I have the ability to do that as well.
In addition, the library history is available here, so you can see the full history of what's happened with that title. So within the selections portal, it's just a nice and easy quick way you can add things either immediately to these actioned by acquisitions, or you can add things in sort of into here as a holding tank for you to be able to think about as a selector and action later. But at the point that you actually select them, it becomes available for acquisitions to action, filter, and then take the next step and approve and order that on your behalf.
So we're really excited to have this out here in the wild for folks to be able to use.
I did wanna give you a sneak peek really quickly. I'm expecting actually next week, maybe even this week, but probably next week, you'll have a new dashboard on your home page. So right now, if I go to my home page, you can see here we have this gray space, but I'm going to just give you a sneak peek. This is what it's going to look like. This is our lower environment or our testing environment.
This is gonna be going out. You'll see it on our road map next week, and it's an the ability for either selectors or acquisitions to see the state of all of the things that they're working on. So this dashboard will be you know, it will be customized to your particular role and your particular activity. So if I was a selector, it would just tell me what things I haven't submitted, what things I have selected, what's been approved, and any comments that I should be aware of.
If I'm acquisitions, I am admin, which I am, I have access to everything, so I can see all of the states of all of the things. So it's just really nice quick view, and I will say this was informed by libraries. They're the ones that said, wish we had a dashboard, and we said, On it. We got you. And so this is coming soon, but it's really just gonna make it easy because when you click on these things, you're gonna actually go right to the portal we just showed with all the ability to action those items and filter automatically. So it makes it nice and easy, but I did wanna highlight that since it is imminent within a week or less that you'll be having access to that.
So that being said, I think those are the four stops on our tour that we wanted to share with you today.
Steph, is there anything else that you think is worth a revisit or things that are coming up in the chat that we should take a minute to share in our closing moments?
Steph Moriarty
Yeah. One that and I will say, Bethany and I intended to address this at the end, but we are getting lots of questions as we predicted on print in Mosaic. So do you wanna start that conversation and show the link to print and then we can kinda talk about where we're at with everything?
Bethany Pelletier
Absolutely. So we did show it a little bit. Let me just pull it up again so that we can show it.
So right now, Mosaic is currently eBooks only.
And, again, across eight suppliers and growing, that we do plan to offer print in Mosaic. We've already done a lot of analysis on what might that look like, and it's as you can imagine, there's different factors that come into play with print books. You know, you can't guarantee fulfillment within an hour, but we have started looking at what that might look like. And so that is something that is on the road map for the future, but it's not something that's available quite yet.
There is this fine print in GOBI link that brings you right to the record. So in this case, if you were interested in the print, you could go ahead, pass that through, and you can order it right through from GOBI right here. So Mosaic does offer you that sort of stop gap, if you will, until we have print books available for sale within Mosaic. So that's something that will be coming in the future but is not available quite yet as we were focused on making sure that we have all of the things that are needed for eBook acquisitions and integrations available first.
Steph, anything to add there?
Steph Moriarty
Yeah. So I'll just add in general where we are at with print.
You know, originally on our road map and for those that have been on this journey with us since the beginning, print was on a nearer term road map at one point.
When there are changes in the industry, that doesn't only shake libraries, it shakes vendors as well in the sense of we need to kinda step back, evaluate what's going on, go to where the needs of the industry are.
And at this point, it is with digital and eBooks. And so what we have done instead, and there are a lot of questions relating to this, so it all ties together, we have moved demand driven acquisition, or DDA, up. So that is going to get worked on first and finish out the rest of our digital, if you will, roadmap as it relates to eBooks. And so, again, we saw all those questions coming in. We weren't ignoring them on purpose. We did want to address it and be able to take a few minutes to explain that.
Bethany Pelletier
Steph, any other questions or things in chat that you'd like me to highlight in the actual live platform? If not, we can talk about these slides.
Steph Moriarty
Yeah. One thing and I'll just add, Bethany, because you haven't been looking at it, but there's over two hundred questions. So we've been getting quite a bit.
One of the another popular one is when will spotlight list be available in Mosaic? Do you wanna take that one?
Bethany Pelletier
Yeah. So spotlight list are so important. Right? And we definitely know that we've actually moved it up on our road map.
This is going to be offered this year. So we've already started the analysis on that, started to break down what that work is gonna be looking like, and our plan is to get that to development probably this quarter or next quarter, which means you should have it by June is our current what we have on the road map for spotlight list. But we may even have it earlier than that. We're fast tracking it, understanding that that's important that you have list of titles that were curated content.
So that's something that's on the immediate roadmap and will be offered very soon and coming to hopefully a webinar soon.
Steph Moriarty
Thanks, Bethany.
And another popular question is the clarity or I guess clarification on what happens to ECM and what happens to GOBI with Mosaic. And so I can take that one, Bethany. But eventually, the goal is that Mosaic will be our singular platform that is available.
With that said, ECM is going to be retired, if you will, sooner rather than later.
ECM does not have as many workflows, I guess, you could say, that would need to move over to Mosaic. The two critical pieces that we have remaining to bring over to Mosaic as far as ECM goes are the spotlight list. So I guess three. Spotlight list, DDA, and where to put eBook manager.
Once we have completed the work for those, the intent is to sunset ECM.
We have already started reaching out to customers that, you know, frequent ECM the most and having those conversations with them, but we'll also be communicating with everyone as that goes.
For eBook manager specifically, it is going to move to EBSCO experience manager. So, basically, we're just picking it up out of ECM and putting it with all of our other EBSCO tools because EBSCO eBooks is a supplier, and you would go to your supplier for any of those post-acquisition management tools. With GOBI, where we have some more complicated, if you will, things that we need to work out, GOBI is going to be retired a little bit further out, so there is time there. However, if you are just doing firm ordering one off title-by-title purchases, Mosaic is a great landing spot, especially if you just need to do something quickly.
Additionally, if you have a need for non-English content that you can't get in GOBI, Mosaic is a great place to do that as well.
And I'll be honest, some customers that have started using Mosaic are using it to also discover their print and then using that link to print in GOBI because it's so much faster, in the search results and to be able to find those things. So, you know, it's a conversation that you would have with your EBSCO representative of what works best for you. If you are a heavy DDA customer or only a DDA customer, sure, Mosaic is not going to be ready for you. But if you're doing title-by-title, even if it's a little or if it's your primary, we really encourage you to check out Mosaic, which is a good segue into this slide.
And I will address another question that came up frequently was, I just wanna trial Mosaic, or I wanna try it out. Can I do it without any risk?
The short answer is yes. There is no cost to have Mosaic. You can have a user account. You can go in there. However, it is a live account.
So it's only free as long as you don't buy anything, but we encourage you to try it out, obviously. But you can trial it, but a trial account, quote unquote, is a live account. So anything that you would purchase or acquire, you are on the hook to pay that invoice. So again, you can trial it, you can get set up with it, but we, you know, expect you to pay the invoices if you incur any charges on that.
So if you are ready to get started in Mosaic, we have this QR code here, and that brings you right to a form where you can request an account. So if you liked what you saw here, you don't need to talk to your representative to learn more, you just wanna get going. That is what that QR code is for. If you would like further information, wanna speak to a representative or speak further with Bethany or myself or anyone on our team, you can contact mosaic@ebsco.com, and that will bring you to our team, and then we will connect with you.
And, Marjorie, I know we're just one minute over, so we'll pass it over to you to do the wrap up.
Marjorie Boyer
No worries. This has been excellent. So a big thank you to both you, Steph and Bethany, and MK. And I think Natasha's in there answering questions as well.
So thank you so much for taking the time out of your day and to everybody in the audience, thank you for attending this webinar. You can expect an email with a link to the session recording in your inbox within the next week. Since we were not able to answer all questions, we will be reaching out to those whose questions we didn't answer as long as they weren't asked anonymously or answered in the webinar. But that about wraps us up for Mosaic Essentials 2026: A Complete Book Acquisition Platform Tour here today.
Thank you so much again, and I hope you all enjoy the rest of your day.
