Just want to thank everybody for joining us today. This is the second session of season two of our Mosaic Innovation Spotlight and Open Forum. My name is Julie Twomey, and I am the marketing manager for EBSCO Books, and I will be hosting the program today.

I am joined by my colleague, Steph Moriarty, and she is our Director of Sales for EBSCO Books. And then we also have on hand Bethany Pelletier, Director of Product Management for Mosaic. She won't be presenting today, but she will be on hand to help us answer some Q and A. So welcome to the speakers.

And now I'd like to just go over a few housekeeping items. Can you see my next screen okay, Steph?

Excellent. Before we begin the presentation, we have muted all audio lines. That's just to prevent feedback or interruption during the presentation. But make sure you can locate our chat box. That's where you'll be able to submit any questions or feedback anytime during the presentation. We will be looking at that throughout the program. We are scheduled today for thirty to forty-five minutes, but we will leave fifteen to twenty minutes at the end of the program to answer any questions.

And now I'd like to pass it over to Steph to get us started.

Great. Thank you. All right, so this is our sixth webinar that we have done and some of the feedback that we have gotten is we haven't really done a full walkthrough of Mosaic since the first one about a year ago. Cause we've been highlighting things that have been new as we go. So we thought we'd take the opportunity today, while we're highlighting the new features, we have to stop along the way at our original features. Be doing a high-level overview of everything today.

As Julie had mentioned, put any questions in the chat and then Bethany will ask them out loud or answer in the chat directly.

So with Mosaic, this is our home page. As a reminder, Mosaic has been built from the ground up, and so today we only have firm ordering available because we have to start there before we get to our next pieces such as DDA, EBA, etc.

One quick thing to note on the bottom here is we have these quick links. So we have our EBSCO Connect page, which brings you to a list of step-by-step user guides, FAQs, video tutorials, etc.

And then we have links to our product roadmap. So we have a dedicated roadmap via our EBSCO Connect page that is just for Mosaic. And so you can see what's coming soon as well as what has been recently released. So you can see we just released last month the Alma integration, which has been very exciting.

And then we also have a contact us here. So this contact us brings you to our customer service team. So if you're having any technical issues or question on an order or an invoice, you'd want to click this.

Okay, so the feedback button on the side, this one is going to go to our product management team. So folks like Bethany. That's if you are using Mosaic and you are going along and say, oh, it'd be really great if we had this feature in here, click that feedback button, type it in as you have it on top of mind, and that's going go directly to our product managers and developers for consideration.

So I just wanted to decipher those two different options that you have to contact us.

Coming along the top, we have some features that we'll get into in just a little bit, and then your personalization of who you are as a customer, your library name, and then any applicable profiles that you have.

When searching, we have options to search by keyword title, author, publisher, and ISBN and we'll be adding more over time such as a subject area.

You can search by any words or all words, and we default to all words.

I'm going to run a quick search here on green energy. So you can see how fast that displayed the results. And we have more than ten thousand results and you can page through all of those.

We have in our search results, we call it the master level record, so it's a consolidated bibliographic record. So in GOBI today, for example, we have potentially multiple records for different formats of the content and that alternate edition button, but with Mosaic we have consolidated everything into one single record and all applicable ISBNs are going to appear in the item details here.

And then we have our purchase options which will show any e suppliers that are available for that particular title. In this case, this book is only available via EBSCO eBooks, but we also have Taylor & Francis, IGI Global, JSTOR, Cambridge University Press, and soon we will be adding Bloomsbury and Wiley as these suppliers as well.

On this record, we have the little dots up here that if you want to look at the table of contents or a brief title description and soon to be choice reviews, you'll be able to view as well.

When available, if the e-supplier has provided it, can click on this little caret here and we have a variety of publisher data here. So the first one is our automated accessibility check.

So not only has Mosaic itself as an interface been built with accessibility in mind, but it also ties to the e-suppliers’ platforms as well and what they're doing with accessibility.

So in this case for an EBSCO eBook, we have this automated accessibility check which is saying this book has been passed through an accessibility tool and it's testing for one hundred and four different points to see how accessible that book is. And in this case it had a 97% pass rate which is really good.

So you can make that decision prior to purchasing where accessibility is so top of mind with the European Union Act that has gone through and then the American Disabilities Act which is going be in place in April of 2026.

So this is to help you in making purchasing decisions for your users. Again, when available, we'll provide any publisher permission. So for this particular book, we allow full book download and then we'll display the number of pages that are allowed for chapter download, printing, emailing, etc. And if copy and paste is available.

We have recently added a preview button, so again, when available from the e-supplier, you can preview the title on their platform. So for our EBSCO eBooks this is what it would look like, we just disable the features for it, but you can see how that title would look on EBSCOhost.

And then additionally, we have this fine print on GoVue button. So right now Mosaic is just for eBooks, but when you're browsing and you want to see if it is available on print, can click this. It will link you directly over to GOBI where you can then continue to browse and finish a purchase for print, for example.

On the left-hand side here and the star of the show since we've released this since the last webinar that we had is our filters.

So we have a bunch of different filters available, and we'll be adding more over time, but today we have DRM status, so if you want to be conscious of purchasing books that are DRM free, you can filter on that, as well as format, so PDF and EPUB.

Again, this is really important when making decisions with accessibility in mind, so if you want to be more mindful of purchasing a book that is available in EPUB, this is a great filter to do that.

For publication year, you can browse by a specific range or tick off the boxes here.

You can filter by publisher, and currently we sorted by most results to least, so it's not alphabetical but it is by most results. And then you can filter by subject area, both by LC and or BISAC, and you can also filter by language.

For any of our ECM users that are on this call, this is a huge improvement that you can multi select language. In ECM, you can only search by one language at a time, but this you can do multiple, which is great when you're searching for say English and Spanish, because you want to see if it's available in both.

I'm going to apply a couple of filters here, So I'm going to limit to just EPUB three published in 2025, so it reduces my results to 286.

I'm going to navigate away to show you how these filters stay. So I navigated away from my search and I did a new one and it kept my filters that I had.

This is a great improvement especially over ECM because in ECM if you filter spend all that time narrowing your search and you accidentally click the back button or navigate somewhere else we forget that you did any of that.

So with Mosaic it is wonderful that we store all that per your session, but since it's something new and you want to get used to, just be wary of that when you are doing searches.

I did a search for business, and I only got two thousand one hundred results and I may think I would think that there was more content. You want to check if your breadcrumbs are here. So I got a limited result because I did just EPUB three just for 2025 publication date. So just something to get used to and be wary of when searching.

But I'm going to clear all of these to show our next trick and I'm going to search a specific ISBN. So on this particular ISBN, when I go to my purchase options, have unavailable in your region. So Mosaic is taking into account anything that you cannot purchase.

So if it's not available to you, we will indicate, but an improvement is we will tell you why. So in this particular case it's unavailable in our region, but we may also say it's not available in your market. So if you're a corporation that may have a restriction it would indicate that.

Or if you don't have the e-supplier set up, we would have a note saying that you need to configure or if pricing in general isn't available, it would say that as well and you would have all of those notations.

I'm going to go back to my other search, if I could spell energy correctly. And I'm going to add a couple of items to the cart. So you'll see here that I've already added a couple of items and I have a number four because I've added four copies.

If you want to add additional copies, so if you needed two copies of single user, you would add it to your cart and then continue to hit the plus sign for as many as you would need. So you can do multiple copy purchases in one sitting. That's something that ECM has not been able to do and it's been a great improvement.

I'm going to head to the shopping cart, and I'm going to limit to just my profile. So profiles are effectively a replacement for sub accounts in GOBI, but they would be used for if you're an academic institution that may be purchasing for your medical library or you have an opening day collection that you might have different funds or different billing needs for. That's what the profile would be for. We have a lot because this is a demonstration account.

But an average customer would not have this many. So I'm just going to filter to the one we're using. So right away, my shopping cart is alerting me to anything that I need to know about the titles that are here.

So in this case, it's alerting me that I already have some titles that are available at my institution that I should review, and I also have some titles that have incomplete order details.

If a price had changed over time, it would indicate that to you and it would tell you which title changed and what the price change was. Or if a title changed market or country eligibility, it would tell you that this title has been removed for XYZ reason. And the reason why we put those alerts is the cart is persistent. So you could add an item to a cart. I've had someone here for about six months and they're still hanging around but it's persistent over time in between logouts and logins, etc.

So I'm going to either I have a couple of options. Can scroll through and look at these titles individually, or we can change our view. So if I only want to look at the titles that have incomplete order details, we can filter to just those and I'm indicating here that it's incomplete.

For this particular account we have decided as a library that we require order information before it can be processed. So we require a PO number, a fund code, location, interested user, etc.

And so it's indicating to me we can't proceed with this until you complete that information.

If you're an institution that doesn't require that information, not a big deal, we don't need to make that a requirement. It's all configured upon your setup with Mosaic. So it's flexible no matter what size or what type of library you are. But in this case, since I'm making a requirement, we got to go through it.

So I'm going to add this and I can either add it one by one as we go, but if I don't have enough time to type those in or look it up, I have set up a handy dandy template ahead of time and it will auto populate the information.

And you as an institution can pick what is optional and what is required. It's all configured based on your workflows and what you need.

So I did that on a single title level, but if you wanted to do it in bulk, you could select multiple or select all, change the order details and make those applications.

The cart also indicated that I have some items that are already at my institution so I'm going to quickly review those and it notes this by putting the at your institution flag here.

And if I'm not remembering where I got that from or when I did, can go to your order details, oh sorry, not order details, your library history. And it will open up and tell you bought this as an EBSCO eBook and the source was a Mosaic purchase.

Since the last time we had a webinar, we added the ability to sync up your EBSCO eBook holdings automatically and that is going to include your subscription titles as well, which is a great improvement.

Excuse me, and that will indicate to you that it's coming from your EBSCO eBook directly and then you can also upload your own holdings. And if you do, it will indicate to you that the source is from the holdings that you have uploaded.

Bethany, I think right now is a good time to pause for questions before I go into the post-acquisition workflow. So are there any that you'd want to point out?

Bethany Pelletier

Yeah. So I think one of the things that's coming up a lot is library history or library activity. So I think you showcased some of that here in the cart. I don't know if you want to if you can show that on the search results screen too again, just to kind of highlight that modal there. Just might Yeah.

That's the next, okay, the next thing. So I guess we'll just continue. Perfect.

Bethany Pelletier

I love it when folks sort of are leading us down the path. This is fantastic.

Steph Moriarty

So with the order, I cannot submit the order because again, this is a demo account, but you would be able to submit your order and once you submit it, your price is locked in.

And so the card is constantly checking to make sure that the pricing is up to date, the availability is up to date, so that when you submit the order, there's no surprises. That price that's locked in, that's what your invoice is going to be for and there's going to be no surprise cancellations of any orders. Again because Mosaic is telling you what you can do before you even buy it.

So once we have submitted the order, pending configuration, you would receive an email with the order acknowledgment and then subsequent fulfillment email, marked records, invoice, etc.

So we do have the option to send everything via email, but we also store it directly into Mosaic. So on the library activity we have on demand invoices and invoices are delivered fairly instantly and then they're stored here. So you can sort by the date or if you had multiple profiles, you can sort by that. But we're going to click on an invoice and these are new, zoom in invoices. So any information that you would put on those order details is going to show up on your invoice.

And then we also combine the invoices by e-suppliers. So if you would purchase a book from EBSCO eBooks and IGI Global on the same order, we're going to put it on the same invoice. So it helps consolidate that down. In the event a credit did need to be issued, your credit would be posted here as well.

Additionally in library activity we have MARC records. So Mosaic offers rapid MARC records, so they're delivered within minutes of the order being placed. And these can also be customizable, so you can customize your URL, you could add an order number and that's all configured upon setup of Mosaic.

So out here we just have basic information in reference to the order number, but in order to view and download that file, it's a little hard to tell but it's a little hyperlink, so you click on that it's going to tell you specifically the title that is in these files.

If there were multiple titles in an order, so in this case we had two, you can click into that and it will again list that out. So there's no more guessing game of what is going to be in that file when I download it. We tell you upfront. You can download that entire file or you can do individually one by one. So if you were only missing one, you don't have to download the whole file.

And then lastly in our library activity, we have order activity, and this is where you're going to see what you have ordered as well as the real time status.

So when an order is placed it's going to indicate that it's open, then it will switch to fulfilled, invoiced. If it was canceled for any reason or credited, it's going to say that as well. And that's all real time. So it helps give you insight so that if an order hasn't fulfilled you can go in and check Mosaic and if it's still in the open status you can say okay they're still working on it hasn't been filled but if it has been fulfilled and you don't have access, it's an indication to contact us. So it really helps guide you in what your next step is going to be when troubleshooting.

So looking at these records we can view our details, which is going to link out to the applicable invoice, your access URL for that platform, as well as your cataloging record. So in library activity, you can go and get the invoice there, the MARC record, but if you only want for a specific title, we also put that information here.

If we go and search for this title and it happens to come up while we're doing it, we have an at your institution flag here to indicate to you that you already own it and when you go to your purchase options, we will also highlight the e supplier as well as their access model with a highlight in green and a little checkbox so you can see.

And then we have the library history modal here where you can view the details and again get immediate access to your invoice, credit access URL or cataloging record.

And just in case because we like to give options, can head back into your cart, view titles that are at your institution and we have the library history here as well where you guessed it, you can get your invoice, your credit, access URL, and cataloging record. So wherever you are in Mosaic or whatever workflow works best for you, going to be able to find what you're looking for.

And then the last piece to show is our order templates. So you can configure your order templates directly in Mosaic.

I will say in order to have this option available, it's configured upon setup with our customer service team, but once you go through that configuration, then you are free to set up your own templates here in Mosaic.

And it's as simple as creating the template You can make it private so that just so Bethany and I work at the same library and I want a template just for myself for any reason, I can keep it just for me and Bethany as another user is not going to see that.

But if I want everyone at the library to be able to use it, you would uncheck private and you can also make it the default template as well, so you don't have to pick it every single time.

And then again you configure your information and create your template.

So now let's go ahead and open it up for questions. Bethany, feel free to ask Steph some that may have already been posed that you think might be worth repeating.

Bethany Pelletier

Sure. So actually, was wondering if I could just start by answering a few questions. There's been a lot of questions about interoperability and ILS support in the chat, so I thought maybe it just made sense quickly to just review what we currently support and what's on deck, and then we can kind of get to some of those other questions that Steph can help us demo. So just to recap, as Julie said, we did a webinar the last webinar was on Alma interoperability.

The upcoming one is on FOLIO. So what how does what does Mosaic have for offerings for interoperability? There is order API and EDI invoicing available for Alma that launched in September. So if you're an Alma customer and you want to take advantage of that, we can do that right now, and we have customers that are actively using it.

FOLIO development is complete. We are officially part of the Sunflower Release Service Pack two, and so that's all ready to go launched, as Julie just mentioned, Stephanie from Karen is going to be showing us that next month. She showcased it at the FOLIO WOLFcon last month, so the development is completely done. We just need to wait for that service pack to roll out, and for libraries, if you are FOLIO, you have to upgrade to that to be able to have that. So for that's Alma, that's FOLIO.

We are currently working with OCLC WMS. We have development underway for that with a projected spring availability for Mosaic and WMS. Additionally, we are working with all the other major ILSs to share requirements, talk timelines, so if you take a look at that roadmap that Steph shared that's available from the footer in Mosaic or on ebsco.com, you'll be able to see there's a filter there on sort of interoperability, and you'll be able to kind of see where a timeline. Also feel free to contact us, press that feedback button, ask your questions as well.

So Alma is available. FOLIO is going to be available pretty immediately. WMS is going to is on deck and nearly done, and then the others were looking towards that. So if you have any other questions on interoperability, please do reach out.

Just wanted to kind of restate sort of our current availability for those that might be interested. Alright. Let me see.

And it is free. The interoperability right now is free. So that nothing is costs anything for you, Mosaic. And, just to underscore, please do reach out, get a login. Doesn't even mean you have to order. Try it out, follow along, have your voice be heard, in in terms of helping prioritize sort of what we do next. But it is free, and we have that order and EDI invoicing interoperability.

Steph Moriarty

Anthony, saw a question I just want to add too. So the question was, we do not use Alma, is that a requirement? No, it's not a requirement. It's not even a requirement for FOLIO or WMS when it comes. If you don't want to integrate into an ILS, that's totally fine. You can use Mosaic as is.

There's no dependency one way or the other.

Bethany Pelletier

Yeah, let me see if there were any other questions for you. Oh, will say I have my Mosaic socks on, so just sit there now.

Trying to see if there were there were a lot of questions around duplication alerting in the library history, which you did show staff. So might we just want to recap if you're interested in having your library history appear, you can send us a load. So I don't know, Steph, if you want to add to that at all.

Steph Moriarty

No. It's seamless to do. We just need the export and then away we go.

Bethany Pelletier

Yeah, and Steph, it looks like for some folks, I'm so glad to see that people are attending just to find out more, but I think for some, they're trying to understand sort of, you know, is it ready for me? Am I, you know, what do I need to know? So what would you recommend for those folks that are interested to understand where it stands for them.

Steph Moriarty

Yeah, so if you're in the United States, it's available and then we have it available in a select few countries in the Middle East and Latin America. We can share a full list of where we're available. But generally speaking, if it's available in your country, anyone, yeah, so if you're in the United States, it's available and then we have it available in a select few countries in the Middle East and Latin America.

We can share a full list of where we're available. But generally speaking, if it's available in your country, anyone is welcome to use it. We encourage you to start using it to make sure that you're learning as we grow.

We release, I mean, at least once a month. Every two to three weeks it seems like we're putting something new into Mosaic. So it's very active in what we're putting out there and that can be anything from small tweaks to major releases like FOLIO for example.

But we understand that it is limited and it's firm ordering and that's okay.

We've had a lot of libraries that curiosity gets the better of them, and then they start to use it, and they said, wow, this is really great, I'm going to do all my firm ordering in here.

So it's really whatever you feel as a library but generally speaking anyone and everyone can and should use it and should be getting in there. Looking at potentially workflows that aren't in there today that you want to see and you want to be able to give us that feedback. The only way to do that is to get in there and start looking around and using it.

We also, I should note, we have non-English language books available.

For GOBI customers we haven't had that before because of the character limitations, but we've had libraries that they've only done their foreign language purchasing through Mosaic because it's available to them. So there's a lot of different use cases that you can use for it, and we encourage you to explore if it's something that's the right fit for you today, and we're happy to help you with it.

Bethany Pelletier

Alright. Just got Leah asking, I would like to confirm that signing up for Mosaic login will not affect GOBI for now. So I don't know if you want I know you just kind of touched on that a little bit, Steph, but just sort of that sort of if you're a GOBI customer and you're a potential Mosaic customer, what does that look like for you?

Steph Moriarty

Yes, so you can use both. And the same goes if you're an ECM customer, you can use both. You know the eventual plan is to retire both ECM and GOBI. We're a few years out from that, but that's why we also want to encourage to use it so that you're not you know, in a couple of years the day comes and GOBI's not going be available anymore, that there's not a panic of Oh my gosh, I haven't integrated anything.

But the short answer is yes, you can use both, and then it's just ultimately up to you of how you want to do that.

Bethany Pelletier

And some additional ILS interoperability questions. Bob was asking about FOLIO and sort of what that's going to look like, so I just wrote it in chat, but as Julie mentioned, next month we'll have that webinar. You can see start to finish live demo. If you want to go out on YouTube and search for FOLIO Mosaic, ILS interoperability. Stephanie from Cairn has actually published some demos of YouTube videos that she made for herself out there. So it is out there if you're interested, but tune in to the next webinar, and we'll really take you through all the details of how it's an improvement over GOBI and what you can expect in terms of what is the interoperability.

Interoperability is a big word, right, like what actually does it look like for your library. It looks like Gio was asking too around WMS, and I kind of spoiled did a little spoiler alert there, but WMS will be coming this spring.

There is some general setup that has to happen whenever you sort of have two systems communicating with one another, but it's a super simple setup, and our LTS crew just has to go in and set a couple little things and off it goes. One of the things we've really tried with Mosaic is to make things sort of simple, easy to set up so that you're not having to wait multiple weeks to try to get a small thing changed. So I can say a setup takes minutes for us. We just need to pass certain keys for authentication.

Guess, Gio, I'd say if you're interested in that sort of being part of that, let us know because we'll, as I said, development is underway for WMS and I expect in the spring we'll be doing another webinar on that and what it looks like and happy to answer any of your questions there as we work through it.

Got a couple more questions. Steph, could you tell a little bit about the billing of the orders being sort of GOBI and Mosaic separate systems? What they can expect there?

Steph Moriarty

Yeah, so we I'm going to interpret the question in ways we've been asked it. So if I'm off, please let us know. But the invoices are going to come from Mosaic by GOBI Library Solutions, but the legal entity that we operate with is still Yankee Book Peddler, so if there's concerns about W-9s, you need to update your finance office, we're still going to be operating under the same legal entity that we do with GOBI.

Oh and then I'm going to grab that question, Bethany, from Emily. I'm a medical librarian for the health care system as well as College of Nursing. Do the profiles allow for switching between accounts? Excellent question. Yes.

It's quick toggles in between and then you can do all of your actions on the separate profiles within the same session. They can all be in the cart together and you can take actions on all of the profiles at the same time. You can do orders just for one profile if you're still working on the other. It's very flexible, but you can do it all within the same view and it's just toggling back and forth.

Bethany Pelletier

And we're going to see if there are any other ones that we've missed. If there are any, burning questions and I we've missed them, please do restate it there in the chat so we can make sure we get there.

Laura's asking about preordering titles, and I know there was a NYP question above. So for that, we do have sort of full catalogs in our system. We do not allow NYP orders at this time.

Once it's published, you're available for you to order it, but at this point, it's not a preorder availability, although that is something that we have sort of on our list of things that we want to support.

Alright. And it looks like, Julie, you went back to the QR code, which is great. Steph, Beverly has that question. Do you have the ability to identify e-books ordered on the ECM platform? Can you provide the MARC records to import into Alma?

Yes, so two parter there. Yes, we can sync up your EBSCO eBook holdings, so no matter where you purchase them from, GOBI, ECM, your subscription, if it's untriggered or DDA, or if you have one of our old shared collections, all of that is going to transfer over as long as it's configured.

So the answer says yes, and then for providing MARC records to import into Alma, yes we have the MARC records available, but if you're looking for any historical MARC records that you need to catch up on or anything, contact us and we can help you get that file, but on a go forward basis, yes, you would get all those MARC records to put in.

So Steph, given some of the other questions, I wonder if it's worth a recap of what the cataloging sort of, what cataloging looks like in Mosaic, of how they would get them and the sort of provisional level and what some of the customizations that they can do. I don't know. It's probably too hard to get into all the details here, but we probably could do a high gloss of that. I did put something in chat, but we might want to just touch on that.

So the one of the questions was, do cataloging records cost anything? So they are of no cost. They are free. They are provisional level records, but we do have some customizations. So, Steph, we can include proxy URLs, right, in those cataloging records and then some local order details, I think.

Yeah. Oh, look. Pulling it up. Nice. Real time. This is an uncustomized one. So this is our just off the shelf standard provisional record. And then, as Bethany mentioned, we can add additional customizations on there, which the highlights are you can customize your URL for it to show, as well as your order number.

And a couple of others, and our customer service team can walk you through what all those options are.

Yeah, and just again, there's really because we're hearing this a lot in the chat, right? Like, does it cost? What do you have? Can I use the two systems, sort of GOBI or ECM in parallel?

So I think just want to restate, you know, there's reach out, ask for a login again. If you aren't sort of ready to order, that's okay. You can search. You can discover. You can play around. You're going to have additional questions. It doesn't cost anything. There are sort of all of the base important parts of Referral Morter Workflow for eBooks available to you, so please do reach out if you have any questions.
