This short demonstration highlights how holdings, fund codes, reporting codes, and order status flow between systems, helping selectors and acquisitions staff avoid duplicate orders and move books into collections faster.

My name's Jenifer Holman, and I'm the electronic resources librarian here at Hope College and we love a good Alma integration here so we were thrilled to work with Bethany and their team to get the integration configuration set up between Mosaic and Alma. I worked with our systems librarians to get kind of the back end configuration set up, and I'm happy to say that was a very straightforward process. And I'm going to pass the baton over to my colleague Elicia Nevarez who's going to show you a live demonstration of how the integration works.

Hi, everyone. Okay, I am going to share my screen and we're going to go over to Mosaic. I am actually going to search a title I ordered earlier this week because we recently gave everybody our holdings. And so I'm really excited now that we have this “at your institution,” so it makes it nice and clear to me that I already ordered it and not to order it a second time. There's also this nice little history button that I can click on that was there before, also to show me that I have previously ordered this book. We're going to order a book right now. So I'm going to look at the purchase options. We do love to have the DRM free. There are multiple suppliers for this one, so we are going to actually choose the JSTOR and I'm going to add it to my cart. We have a variety of things that we like to add to our orders. So it will integrate into my purchase order for my POL, making things a little bit easier. We gave them all of our fund codes and here is the fifth reporting code that we chose to use for the interested user. This goes into the notes field in the purchase order line. It doesn't actually connect to the interested user due to our choice with the API, because we don't want to have the actual big number. So I am just going to write a note so I know that I'm the one that said that. And then going to save and submit the order. I usually get the email saying that I received the order within a minute. It's very fast and I jump over to Alma. Because I want to activate an e-book today that you can actually see the portfolio getting activated. I preordered a book earlier this morning just to make sure that it would be ready to go, and it came in about 25 minutes. So this is the e-book that I ordered this morning. The brief bib record came in beautifully. It is a pretty big brief bib record. The purchase order line info all came in. This is showing me that it's not yet active. The fifth reporting code is way down here and it did come in great. So I'm going to click on electronic portfolios and we're going to activate this. So this, ours are coming in. The way we have it set up right now, it is not coming in actually available. I have to go in and double check it for us. So I will check that. Sometimes we'll go to the linking to make sure it matches the email. The acquisition tab, the POL always looks nice and matches. I'm going to click “save” to activate this and make it available. I'm going to go down to our e-resources. One of the things that we have to do is in order for it to get the e-activation to send to the interested user that it is available, I do have to click this “create e-activation task,” and then it will go into here to activate. So I'm going to test access so we can see that it truly did work. And it's there. It looks ready to go. I'm going to go back. It assigns it to me and I'm going to mark “done” and then I will have gotten the email that says that is ready to go. For the bagpipes book that I preordered earlier, the invoice has already come in to Alma. It is there and looks as we would expect it to for EDI. It had two, I ordered two ebooks that day, so two titles came in. You can see that I have the POL there. And then Bethany mentioned, when you go into Mosaic, if I want to look up that invoice, I just couldn't remember what I had done, I can go to “library activity” and I can click on “invoices” and I go there and it shows me that, yes, I did indeed order it and there is my nice purchase order line.So that is a very fast version, but that is how we order the books from start to finish.
