Mosaic in Minutes Workflow Highlight FOLIO Live Workflow Demo
I'm just going to do a quick search to get us started. I'm just going to take this subject heading here because it's a good one. What you'll see here is we already have some in the cart. I'm going to go ahead and pick this one, and this one's already in the cart. So we're good. And I'm going to go back to my cart. I can go ahead and just update it. It's letting me know I have some exceptions in my cart, that some are already at our institution, some are incomplete order details. So what we're going to first do is I'm going to go over here to the order details. This is the modal with the FOLIO information, and I'm going to just select my Cairn e-book template. This is my default. Now you can have as many as you want. And that's how I plan to, when it's live on our site, to use that. And then down here you're going to notice - oops, I always forget I can search. Yay! Going to pick out the fund and I'm going to pick my expense class. Both of these I created on Friday and I just went in FOLIO and then I went back into Mosaic. I logged out, logged back in, and they were there. And then material type is the same thing. I didn't like any of the material types that were here, so I went ahead and created my own, if I remember what I did. You can do a receiving note, you can do your requester. All of that then goes in too - not that that's feasible, but we could always wish. And then the other thing you can do right from here is you can be like, well, I don't actually want all of these to be part of maybe C.S. Lewis and Chaucer and this guy here. So I would go ahead and save. And then I can place the order now or I can, I still have a couple that are incomplete, and I also have the one that's in our institution and the one that we have in our institution, it's the red herring right here. I can, right here, delete it. I can wait until I order and delete it, or I can come up here to view and say, I just want to see the items with no exceptions. So now I'm just getting the eight that I just updated, and then I'm just going to submit my order. And then we're going to go to get this guy. And if we look at library activity, so these are the fulfilled ones that I placed earlier today. We have canceled, and then we also have the invoiced ones. And then if I come over here to FOLIO, and then all you FOLIO people out there that can't wait for Sunflower, you'll notice that my apps are not alphabetical because I was able to change them. Yay! It is coming! So here's the order that we just placed, and it's all over here. There's our POL number. It's all good. And then we're going to say it's time to pay for our invoice, our order. So we're going to go over here to choose files. Now this isn't going to be right now, it's typically the following day you'll get your invoices. And I grabbed this from, I have it set up with Filezilla and it actually works really well. So I'm going to do open and then I'm going to pick our template that I use and then I'm going to run. And there it goes. This is our invoice. I'm going to go over here and go to Invoices. And from here I'm just going to look at what we have open. And you'll notice the one I just did today is open. And you can look down, you can take a look through, make sure it's all correct. There's your vendor reference number that is individualized for each book. Here is your POL number. You can look at the funds and expense sheet. And then from here I'm just going to approve. The best part of this is being able to spend money that doesn't exist. It's like monopoly money. You're like, oh yes. And then you go to pay, submit, and there we are. We're fully paid. All good. Now, if we wanted to say that you want to look at MARC records, you can come here. These are the eight that we just ordered. It won't be long before they come. This is eight of nine, and the only reason is one was canceled, so that's why. And you can just click here, download available. You click that, it downloads it into the MARC record for you file. And then you go over to data import. We choose our file and I'm going to grab this one which is a different one I believe. And then I'm going to use the job that I created that I call the POL Based Madness, and I'm going to run. So this completed. It was good. And here are the records that we downloaded, and you can see that it updated the instance and updated the holdings and created an item. And when you do that and when I click the item down here, here's the URL with the link text that I had mapped in there. So all of that to say this is all happening in real time, and it's very exciting to see the tightness of it all. And also most importantly, that it's not going to stop being developed. It's a work in progress, but it's a good work in progress.
